A current evaluation should therefore examine the tool-enabled AI by Zapier experience, migration gaps, and the account's rollout state rather than assume the older product remains the long-term operating model.
n8n's agent capability sits inside its workflow editor. Ease of use and ownership

Pricing models are not directly comparable
Zapier's standard automations use tasks, generally when successful action steps run. Current documentation shows Standard, Advanced, Premium, and bring-your-own-key considerations, with tool and knowledge access depending on configuration and plan. n8n Cloud primarily meters full workflow executions rather than each step. A long workflow can therefore remain one execution even when it performs many operations. Model API usage, AI-related credits, hosting, and higher-tier governance features still affect total cost. Self-hosting transfers infrastructure expense and labor to the customer.
Build the same representative process in each trial. Record 100 successful business outcomes, including retries and review. Compare platform charges, model charges, builder time, failure recovery, and ongoing administration. A headline plan price cannot reveal which model is cheaper for a tool-heavy agent.
Control, hosting, and governance
n8n is the clear candidate when self-hosting or infrastructure placement is a hard requirement. Its Cloud service and self-hosted editions have different feature sets, and enterprise capabilities may require paid licensing. Self-hosting provides deployment control but makes the SMB accountable for updates, backups, security, scaling, and uptime.
Zapier removes that infrastructure burden. Governance depends on the purchased plan and product. In AI by Zapier, approval can be required for individual tools, and Zap history exposes tool activity. Team or enterprise controls, sharing, restrictions, and retention should be confirmed for the exact plan. Keep the workflow bounded and review the task multiplier when AI calls several tools.
n8n is often the better fit for a technical SMB, agency, or product-led company with custom endpoints, data transformation, longer workflows, or hosting requirements. It can be economical for complex flows under execution-based pricing, but only if the team can operate it. Neither is automatically the right customer-service agent or CRM assistant when a native platform already provides the required data and actions.
A mixed stack can be valid, but duplicate orchestration platforms increase credential sprawl, monitoring surfaces, and skills requirements. Standardize unless a second platform solves a clear constraint.
A decision framework
Score both products against six weighted criteria: owner usability, required integrations, custom logic, deployment and data constraints, governance, and cost per accepted outcome.
